Privacy policy
Linkup Play is run by The Trustee for Clutch Rewards Investment Unit Trust trading as Linkup Play (ABN 68 671 954 784), "we" in this policy. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth). This policy explains what we collect when you use the Linkup Play app and website, why, and what you can do about it.
What we collect
- Account details: your first and last name, mobile number, email address, and, if you add one, a profile photo and your skill level.
- How you sign in: if you use Sign in with Apple or Google, we receive an identifier and the email address they share (which may be an Apple private relay address). If you use email and password, your password is held by Google Firebase Authentication; we never see or store it. Mobile sign-in uses a one-time code sent by SMS; we keep only a scrambled (hashed) copy of each code until it expires.
- Bookings and payments: the games you book, cancel or wait-list for, check-ins, credit, refunds and receipts. Card payments, Apple Pay and Google Pay are handled by Stripe. We never receive or store your full card number; we keep the card brand and last four digits so you can recognise your saved card.
- Location: if you allow it, your phone's location is used to show games near you and their distance. It's sent with each search and isn't stored with your account. We remove it from our server logs.
- Device and notifications: if you allow notifications, a push token for your phone, so we can send booking updates and reminders. Your notification choices are stored with your account.
- Usage and diagnostics: which screens and features are used (for example, opening the app, viewing a game, starting checkout) and crash and error reports, to keep the app working and improve it.
- Messages to us: anything you send to help@linkupplay.app.
Why we use it
- To run your account, take bookings and payments, apply credit, give refunds and send receipts.
- To tell you about your games: confirmations, reminders, changes, games called off, and waitlist spots. Some of these are sent by SMS or email because they affect your booking.
- To show other players who's coming: other players see your first name, last initial and photo on games you've booked. They never see your mobile number or email.
- To keep Linkup Play safe and working: preventing fraud and misuse, fixing problems, and understanding how the app is used.
- To meet our legal obligations, including tax and record keeping.
We don't sell your personal information, and we don't use it for advertising.
Who we share it with
We use trusted providers to run Linkup Play. They handle your information only to provide their service to us:
- Amazon Web Services (hosting in Sydney, email delivery)
- MongoDB Atlas (database, hosted in Sydney)
- Stripe (payments)
- Google Firebase (email and password sign-in), Apple and Google (if you sign in with them)
- ClickSend (SMS)
- Expo (delivering push notifications through Apple and Google)
- PostHog (app usage analytics) and Sentry (crash and error reports)
Some of these providers store or process information outside Australia, including in the United States. We choose providers with strong security and privacy commitments. We may also share information if the law requires it, or to protect someone's safety.
How long we keep it
We keep your account details while your account is open. Booking, payment and tax records are kept for as long as the law requires (generally five to seven years). Server logs are kept for up to 30 days.
Your choices
- See or correct your details: most are in the app under Profile. For anything else, email us.
- Notifications: change them in the app under Profile > Notifications, or in your phone's settings. Messages about games you've booked (for example, a game being called off) are always sent.
- Location: you can turn it off at any time in your phone's settings and pick an area instead.
- Delete your account: in the app under Profile > Help and contact. We remove your name, photo, mobile number, email and sign-in details. We keep anonymous booking and payment records we're required to keep. Unused credit is lost when you delete your account.
Security
Your information is sent over encrypted connections and stored on encrypted systems, with access limited to what each part of Linkup Play needs.
